Registrars,

The past year has seen many positive changes to registration. Currently we are projecting that roughly 80% of our membership will register online for the 2007-2008 season through SAM. Since we still have 20% of our membership not on SAM, we have established the following procedures to facilitate the initial registration of premier and/or district league players who will require cards. Registration is due August 1, 2007.

Member Associations/clubs on SAM :
To register your players to the WSYSA single source data base

1. Register your players for the 2007-2008 Season on SAM, 

   a. Establish Teams (WSPL, or District, Association, etc.)
   
   b. Assign players to an established team.

   c. Unassign those players who will not be participating.

   d. WSYSA invoicing will remain the same as in previous years. The only change is that we will not collect individual player fees—they will be invoiced monthly.

   e. Player passes will be issued for all WSPL teams beginning mid August. They will be sent to the Association Registrar for distribution.

   f. Districts requiring cards will need to submit their data no later than August 1, 2007.

Member Associations/clubs not on SAM:
For the Member Associations/clubs that are not on SAM, but have WSPL Teams, WSYSA will import the data provided via the WSYSA Tournament Application System (TAS).

1. Review each team to confirm that they will be participating in the WSPL.

   a. Click update status, thus making the teams green.

   b. Approve and Lock all your rosters through the “Print Invoice”

   c. The Print Invoice button will generate your association’s invoice. This fee will include the $1.25 per player data import fee.

   d. Player passes will be issued for all WSPL teams beginning mid August. They will be sent to the Association Registrar for distribution.

   e. For District teams that require cards the data must be submitted as outlined in the 2007-2008 Registrar’s Handbook—Chapter III Submitting Registration. WSYSA will return data that is submitted in any other format. This data will need to be submitted no later than August 1, 2007.

   f. Please contact WSYSA if you should have any concerns.

Please ensure that your data is accurate prior to the August 1st deadline!! Reminder: the 2007-2008 player fee will be $11.07. Non Sam users will also be assessed a per player data import fee of $1.25.

STATUS FORMS:

Member Associations/clubs on SAM:
SAM members will no longer need to complete a status form. All changes are to be in your club’s Sam software. The transfer process will be activated after the registration deadline. Duplicate player cards will not be assessed a fee.

Member Associations/clubs not on SAM:
Submit status forms to the WSYSA office for processing, as you have done in the past. FEE STRUCTURE will be as follows:
Player Fee $11.07
Per Player Data Import Fee $ 1.25
Player Card Fee $ 1.00

Total: $13.32 Please include with your status form.
